Eman Copy Co. is looking for a Project Manager. 

You’ll oversee client projects from the moment a client signs on to offboarding, ensuring every step of the journey is smooth, efficient, and aligned with our high standards. 

You’ll manage multiple projects simultaneously, delegate tasks to our team of strategists and copywriters, and ensure everyone on the team has what they need to succeed.

Your ability to see the big picture while managing the details will ensure that deadlines are met, quality remains high, and communication flows effortlessly between clients and contractors.

This is a remote contractor role with a flexible schedule.

We're looking for a person who is organised, proactive, and a natural problem-solver. Someone who thrives on creating order and ensuring everything runs like clockwork.

This role requires a detail-oriented, systems-minded individual who can see both the big picture and the small tasks that make it happen.

Bonus points if you’re familiar with email marketing, online launches, and copywriting processes to help you understand the nuances of the work you’ll be managing.

Hey! I’m Eman 👋🏽 

I’m the owner of Eman Copy Co. – a micro email agency made up of a small team of strategists and copywriters who turn subscribers into sales. 

I started Eman Copy Co. in 2018 after leaving my full-time role running a small comms department for a charity, so I could create a more family-friendly career and lifestyle for me and my kids. 

I’ve always been the company’s project manager (except for one PM who worked with us this year). But now that I’ve had my third child, I’m working part-time in the business and will be for the foreseeable future. 

It’s important that I permanently hand this project management role over to someone else so I can focus on growing-the-business type of work.

Inspired by my personal experiences, the mission at Eman Copy Co. is to help women build empires and make more money. 

Because wealth = balance, freedom, and impact. 

When women (the historically disadvantaged gender) earn more, there’s a ripple effect. Our mission is to make waves by helping us all make more money.

📊 Project Coordination & Oversight


  • End-to-End Project Management:
    Oversee projects from client onboarding to offboarding, ensuring all steps are completed on time and to a high standard.
  • Timeline & Milestone Management:
    Create project timelines, set key milestones, and ensure deadlines are met.
  • Asana Management:
    • Set up new projects in Asana with dates, milestones, tasks, and dependencies.
    • Track project progress and update task statuses.
    • Ensure team members have clear visibility into tasks and deadlines.
  • Contractor Assignments:
    Delegate tasks to the appropriate contractors (copywriters, researchers, editors) based on project requirements and expertise.
  • Workflow Monitoring:
    Track the progress of tasks, flag bottlenecks early, and proactively provide solutions to keep projects on schedule.

📊 Project Planning & Resource Allocation

  • Capacity Planning:
    Monitor contractor workloads and availability to ensure no one is overburdened and that all projects have the necessary resources.
  • Forecasting Needs:
    Identify potential future resource gaps and collaborate with Eman to hire or onboard new contractors as needed.

💼 Client Management Support

  • Client Onboarding:
    Assist with or manage the onboarding process in line with our workflow and communication expectations.
  • Client Satisfaction Monitoring:
    Check in with clients during key project milestones to ensure satisfaction and address concerns proactively.

🔄 Process Management & Optimisation


  • Initial Systems Setup:
    Ensure contractors have the necessary information, templates, resources, and tools to execute their tasks effectively.
  • Briefing Coordination:
    • Trigger the onboarding process and ensure the client stays on track and completes the process on deadline
    • Deliver project briefs to contractors before work begins.
  • Feedback & Revisions Management:
    • Track feedback cycles and ensure revisions are completed on time.
    • Ensure client feedback is implemented accurately and promptly.
  • Offboarding:
    Oversee the offboarding process, including client handover, feedback collection, and documentation to close out projects.

✅ Quality Control


  • Quality Assurance:
    If your experience allows for this, review deliverables to ensure they meet Eman Copy Co’s quality standards before sending them to clients.
  • Consistency Checks:
    Ensure deliverables maintain consistency in tone, brand voice, and formatting.

💬 Communication & Collaboration


  • Client Communication:
    • Provide regular project updates and timelines to clients where necessary.
    • Manage client expectations and address concerns promptly and professionally.
  • Internal Collaboration:
    • Work closely with our Sales Lead to understand project scopes and client needs.
    • Coordinate with our Virtual Assistant for administrative support and task scheduling where necessary
    • Support contractors by ensuring clear communication and providing necessary resources.
  • Meeting Coordination:
    Ensure project-related meetings, including briefing calls, check-ins, and debriefs are being scheduled and executed by contractors.

📈 Reporting & Documentation


  • Project Records:
    Maintain documentation of project timelines, milestones, contractor assignments, and client communications.
  • Performance Tracking:
    Track project metrics (e.g., delivery times, revisions needed) to identify opportunities for process improvement.
  • Client Feedback Collection:
    Gather client feedback after project completion to refine processes and enhance future service delivery.

Projects are delegated to the right subcontractors:

  • As new projects come in, they are assigned to the most suitable contractors based on skill, availability, and project requirements.
  • Workloads are balanced to ensure efficiency and quality.


High-quality deliverables:

  • All deliverables meet or exceed Eman Copy Co’s standards for quality and style before they reach the client.
  • The revision process is efficient with minimal back-and-forth.


Happy clients:

Effective contractor management:

  • Contractors have clear instructions, the right resources, and feel supported (never micro-managed).

This is a remote, freelance position (you will not be an employee).

Most of our clients and team members are in the UK, US, and Canada, so those are the time zones you’ll be working with.

Hours


10-15 hours a month with a long-term view that these hours (and this position) will expand as the agency grows. 

(We’ve identified our slow seasons as the summer months (July-Sept). And our busiest season is generally Oct-March). 

Pay


Our budget is: $40 to $50 an hour (USD), depending on experience.

The hiring process


This hiring process involves four rounds. 

I’m looking for a long-term hire who’ll be working closely with me over the next few years, so I want to make sure we get this right (for both of us!)

Round 1: Application form for skill, experience, and availability fit

Round 2: Application for communication, personality, culture add

Round 3: Video call interview

Round 4: Paid test project

I understand this process won’t work for everyone, and that’s okay.

The successful applicant will agree to be hired on a 3-month trial basis. This is to ensure we’re both 100% happy with the working relationship before we agree to make it permanent.

After that point, we’ll check in with each other and make sure we’re both still happy with the hours and pay structure.
