Operations & Executive Assistant (Part-Time)

About the Role
Hi! I'm Jessica, a travel, lifestyle, and creator educator (@travelingwithjessica). I’m a former corporate marketer turned full-time creator, partnerning with brands like Disney, Pinterest, Delta Air Lines.
As my business continues to grow, I'm looking for an Operations & Executive Assistant to help keep everything running behind the scenes. This role is ideal for someone who loves organization, enjoys creating systems, communicates well, and wants to help build a growing business.
Operations & Project Management
You'll own the day-to-day organization of the business, ensuring projects move forward and nothing falls through the cracks.
- Manage project timelines, priorities, and task tracking
- Keep business systems organized and up to date
- Track campaign deadlines, contracts, invoices, and deliverables
- Manage calendar, scheduling, and weekly priorities
- Identify opportunities to improve workflows and make the business more efficient
Brand Partnerships
You'll help ensure every brand partnership is executed professionally from start to finish.
- Coordinate partnership timelines from inquiry through campaign completion
- Draft and organize client communication
- Track approvals, deliverables, and follow-ups
- Keep campaign information organized and on schedule
Content, Travel & Events
You'll support the planning and coordination that keeps content and travel running smoothly.
- Maintain the editorial and content calendar
- Coordinate with editors, contractors, and collaborators
- Organize travel, speaking engagements, and creator events
- Prepare briefs, itineraries, and logistics for campaigns and trips
Business Growth
You'll support new opportunities that help grow the business.
- Research speaking engagements, podcasts, and partnership opportunities
- Maintain media kit and business assets
- Assist with launches, special projects, and operational initiatives as they arise
What I'm Looking For
- 2+ years of experience in project coordination, executive assistance, event production, or a similar operations role
- Highly organized with excellent attention to detail
- Strong written and verbal communication skills
- Comfortable managing multiple projects at once
- Excited by entrepreneurship, creators, and digital media
- Familiarity with Airtable, Google Workspace, Notion, or Claude
