Virtual Assistant — Client Operations & Administrative Support

  • Reports To: Owner, Northern Colorado Doula Collective
  • Employment type: Part-time contractor
  • Hours: 10-20 hours per week; expected availability every other Thursday morning for team meeting (Mountain Time)
  • Location: Remote, anywhere in the US
  • Compensation: $25-35/hour DOE, or monthly retainer

Northern Colorado Doula Collective is a team of doulas, lactation counselors, pediatric sleep consultants, and birth photographers serving families in Fort Collins, Loveland, Greeley, Windsor, and the surrounding communities. Our mission is to offer unparalleled care from preconception to parenting – anchored by five core services: labor and birth support, postpartum support, lactation, education, and bereavement support – delivered as non-judgmental, trauma-informed care built around each family's unique experience.

Position Summary

The Virtual Assistant is the first point of contact for families reaching out to Northern Colorado Doula Collective and the person who keeps our client systems running behind the scenes. You will own our inbox and CRM, coordinate consultations between expectant families and our doulas, track the data that tells us how the business is growing, and look for ways to simplify how we work.

This role suits someone who is comfortable working independently, enjoys untangling a complicated piece of software, and genuinely cares that a family reaching out during pregnancy or postpartum gets a prompt, thoughtful response.

Key Responsibilities

  • Client communication: Email correspondence with prospects and clients, plus conversations in the GoHighLevel conversation inbox
  • Scheduling and coordination: Manage multiple team calendars within GoHighLevel; coordinate doula consultations from initial inquiry to confirmed appointment.
  • CRM ownership: Serve as the organization's go-to expert and owner of GoHighLevel (tracking clients, managing communications, building workflows, and occasionally communicating with their support team); Maintain client records in both GoHighLevel and eDoula.
  • Client experience: Mail handwritten cards to clients; Maintain Google and Facebook review requests and responses; Research and recommend options for client gifts & referral program incentives.
  • Writing and content: Write copy for emails and workflows; Post to Facebook on a regular cadence.
  • Data tracking and reporting: Track and report on key client and business data, including referrals, conversion rates, business partnerships, etc.
  • Hiring support: Support doula recruiting through resume reviews, interview scheduling, and managing correspondence with candidates.
  • Close partnership with leadership: Attend regularly scheduled meetings with Owners and Senior Team.

This list may not include all secondary projects asked of you.

Secondary & Ongoing Projects

As capacity allows, this role will contribute to the following initiatives:

  • Street Team program development
  • Referral Program development
  • Net-new workflow and intake form builds in GoHighLevel and eDoula
  • Creation of client-facing assets for specific milestones in their perinatal journeys.

Education and Experience Required

Required

  • Hands-on experience with GoHighLevel.
  • Working understanding of what a doula does and the role they play for families during pregnancy, birth, and postpartum.
  • Excellent written communication skills across email, text, and phone. Ideally, copywriting experience.
  • Strong customer service orientation — you are often the first impression a family has of our practice.
  • Proven ability to work independently and make sound decisions without close supervision.
  • Self-starter who is comfortable identifying problems and proposing solutions.
  • Comfort learning and troubleshooting software, including GoHighLevel, eDoula, and Google Workspace (Drive, Sheets, Docs, Forms).
  • Reliable computer, internet connection, and a quiet space for client calls.
