Heya, my name is Emmanuel, and I am the CEO/Founder of Labile. Things have gotten busier than ever, and I am looking to work with an amazing Assistant to take many administrative tasks off my desk. This is a fully remote role, so I hear it is called a Virtual Assistant. You get the point anyway...

Labile is a media and marketing agency operational in the UK and Nigeria. We are a bunch of “insanely-motivated” marketing and media professionals punching far above our weight. We love to say we “think as though there is no box.” To put it simply, we think limitlessly, which is why many of the projects we have executed and media brands we are managing are unbelievably bold. Perhaps I’m tooting our horn, but I tell you what, none of what I have said is false.

Key Responsibilities

  • Manage my calendar, appointments, and meeting schedules, ensuring efficient use of time.
  • Handle email correspondence, draft professional responses, and prioritize urgent matters.
  • Maintain well-organized digital files, records, and reference materials.
  • Assist in preparing, editing, formatting, and/or sending business documents such as proposals, presentations, reports, and client communications. You will find yourself doing a lot of things like this. Brace for impact, haha!
  • Manage follow-ups with clients, partners, and stakeholders to ensure timely responses.
  • Maintain accurate and updated records of client and business interactions.
  • Conduct light business research and prepare summaries to support decision-making or business development opportunities.
  • Monitor project timelines and milestones, ensuring tasks and deadlines are met.
  • Update and maintain tasks using project management tools. I currently make use of Trello.
  • Liaise with internal team members, contractors, and external vendors for smooth project execution.
  • Prepare concise meeting agendas, record action points, and circulate follow-up notes.
  • Assist in tracking deliverables, maintaining accountability, and ensuring progress reporting.
  • Assist with scheduling content across social media platforms.
  • Provide reliable, trusted support to ensure smooth day-to-day operations.
  • Anticipate needs and proactively offer solutions to ease my workload.
  • Adapt to evolving responsibilities as the agency grows and business needs change.
  • Represent me and the agency professionally in all communications.
  • Uphold high standards of integrity, reliability, and confidentiality at all times.

Person Specification

  • Must have completed NYSC at the time of application.
  • Excellent written and verbal English communication skills; able to draft polished, client-ready documents. This is a non-negotiable, as you will be responsible for drafting top-level business documents and attending multiple meetings where your opinions will undoubtedly be sought.
  • Applicants must be 28 years or younger at the time of application. Marital status is inconsequential.
  • Minimum of 2 years proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • Strong background in administrative management, document preparation, and professional correspondence.
  • High level of professionalism, reliability, and trustworthiness in all dealings.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Proficiency in Google Workspace and Microsoft Office Suite.
  • Comfortable using Trello and Slack.
  • High level of attention to detail, ensuring accuracy and quality in all work.
  • Self-motivated and able to work remotely with minimal supervision.
  • Proactive mindset, capable of anticipating needs and offering solutions.
  • Ability to adapt quickly in a fast-paced, growing business environment.
  • Strong interpersonal skills; able to communicate confidently and professionally with clients, partners, and team members.
  • Flexible and resilient, with a growth-oriented mindset and willingness to learn new tools or processes.
  • Prior experience in and/or knowledge of digital marketing, advertising, or creative industries is an advantage but not mandatory. If unavailable, must demonstrate potential for learning on the job.
  • Familiarity with CRM systems is desirable, but can be learned on the job.
  • Basic knowledge of bookkeeping, invoicing, or financial record-keeping is an added advantage.
  • Ability to coordinate across multiple time zones when required.
  • Above all, you must be smart. A smart person will tick most of these boxes naturally.
